We cannot go without communication. Also the success of a company is dependent on good and clear communication. The way in which people communicate business-wise is changing, also within nurseries. Where generally faxing was used until now, sending an e-mail with the information has been up and coming within the nurseries.

 

Because of these developments, the requirements for administrative software programs changes, so also the requirements for WinTree Nursery Manager. It was already longer possible to send an e-mail out of WinTree, only an extra module was needed for that. To encounter the wishes of many WinTree-users, TSD decided to include the e-mailing of documents into the basic functionality.

 

Before being able to send e-mails out of WinTree, first an amount of parameters and settings have to be set. Read the explanation below carefully and follow the steps to set up WinTree for sending E-mails.

 

ShowParameters

Read the manual Parameters how to be able to set up the following parameters:

1244 Default address sender: fill in the e-mail address that will be sent as the sender with the e-mail
1246 *) Use SMTP Insert value 2
1247 BCC e-mail: insert the e-mail address that needs to receive a copy of the sent e-mail.
1035 Pop-up window when sending an e-mail: this makes it possible to always alter the e-mail text.

ShowRequirements provider/e-mail

WinTree makes use of SMTP when sending e-mails. Because of this it is required that the provider, which is used for the connection to the internet, supports this protocol. In the case that the provider does not support SMTP then it is not possible to send e-mails directly out of WinTree. Next to this, it is important that a valid e-mail address is used as the sender of the e-mails. This may also be a hotmail, Gmail or any other e-mail account that send se-mails via internet.

ShowSMTP

SMTP (Simple Mail Transfer Protocol) is a default communication protocol for sending e-mails over the internet. This protocol contains multiple lines and agreements for successfully and confidently sending information, for example: display, authentication and fault detection. The communication of this protocol goes by a different port than when browsing the internet. Most of the time STMP uses TCP port 25, the firewall needs to be configured to allow data traffic through this port.

 

WinTree uses this protocol because the security of other e-mail programs is so high nowadays that it is not possible to work together with external programs. By using SMTP no locally installed e-mail program is used and you can e-mail fast and without problems.

 

For successfully setting up SMTP it is necessary to know which provider is used. This information is not known by TSD. It is necessary to know the SMTP-server of the internet provider. This information is given by the internet provider (for example in contract documents). When the provider is not known then this can be tracked through e.g. the website www.myip.nl. Often searching on Google for 'SMTP <<provider name>> will give enough information. The found SMTP server needs to be entered in parameter 1239.

ShowTesting the SMTP setting

After entering the parameters, it is recommended to test the connection.  This can easily be done in the WinTree Tools. This program has already been opened to set up the parameters.

 

Open the menu Help -> WinTree info. Click on [Message]. Open in the opened window the tab page "Message". Type in the input field a text, for example 'SMTP test e-mail' and then click on E-mail. A pop-up window will show in which a confirmation is asked for sending the message. Click on [Yes]. If all parameters are set up correctly a notification will shows that states that a message is sent to TSD Support. Next to this an e-mail will be sent to the e-mail address entered in parameter 1247.

 

If the parameters are not set up correctly then a pop-up window will show which says that sending the message has failed, check the set up settings and try it again.

 

ShowSettings and basic information

Before e-mail can be sent from WinTree, next to the parameters, also an amount of settings and basic information have to be set up in WinTree:

  • Program settings, tab page "Lists", tick documents (which can be sent per e-mail). Next to this, per document, in the printing options, the output preference has to be set up.
  • Maintain contacts, set up output preference (tab page "Communication"), entering contact persons (tab page "Contact persons") with e-mail addresses.
  • Basic information -> Header- and Footertexts, the entering of a default subject and message text for different documents.

ShowSending e-mail

Sending documents per e-mails works in the same way as printing documents. There are two options possible:

  • Print (Pre-defined output), WinTree determines on the basis of the settings if a document needs to be sent by e-mail or be printed on paper.
  • Mail current window, with this the document will always be sent by e-mail. The settings are not used in this.

 

A third option is sending a mailing. With sending a mailing the choice can be made to send it by fax or e-mail. Read the explanation Mailing for this. This option is only available if the module Fax Functionality (module number 95) is activated.

ShowLogo

With sending an e-mail from WinTree the document that will be sent, is attached as a PDF-file. In case the PDF-file is printed by the receiver, then the document will look identical to how it looks if printed directly out of WinTree. If during the printing of documents no logo is printed by WinTree (print is for example made on pre-printed paper) then the PDF file will also have no logo.

 

If in the PDF-file also a logo has to be sent, then a separate logo needs to be made. TSD can make this logo and set it up correctly in WinTree.

TSD can only make a logo on the basis of a WinTree user delivered JPG-file. The activities related to making and setting up the logo is not part of the default WinTree support contract and will, on basis of the calculation of the current hour rate, be charged.

Show

Outlook

Because WinTree uses SMTP for sending e-mails, the sent e-mails will not show up in the Send items in Outlook or Outlook Express. So it is not possible to see which e-mail is sent here. By entering the own e-mail address in parameter 1246, a copy of every sent e-mail from WinTree will be sent to this address. In Outlook it can be easily set up, with the help of message rules, to get these e-mails into a separate map. This way, the e-mails sent from WinTree are still archived in Outlook. The setup of these rules in Outlook or other e-mail programs must be done by the WinTree users themselves.

TSD can assist in setting up the message rules in Outlook. The activities connected to setting up message rules in Outlook is not part of the default WinTree support contract and will, on basis of the calculation of the current hour rate, be charged.
