Glossary Item Box

Data can be exported from an opened window in three ways:

- From an opened window
- Using the export button in the toolbar
- Via File Export

ShowFrom an opened window

Open the window in which the data to be exported is located.

With your mouse, go to the list area of the window and click on the right mouse button. In the menu that now appears, select the menu option ‘Export’.

A wizard will now be opened to instruct you in exporting the data. In the first window, a choice can be made via a dropdown list (open this by clicking on the small black arrow):

- Directly in Excel

- Directly in Word

- Save as text
- Save as file (other formats)

Select the first two options if Microsoft Excel or Microsoft Word is available on your computer. Select option three if the data have to be stored as a .TXT file. If the data have to be imported into another Windows application, choose the option Save as file (other formats).

ShowDirectly in Excel

After selecting this option, click on [Next>].

If you wish to stop the wizard at any time and therefore not to export the data, click on [Cancel]. [<Previous] will only be active if it is possible to return to a previous window in the wizard.

In the second window of the wizard you will see two columns: ‘Available fields’; and ‘To export’. When data are being exported from the opened window for the first time, all columns that can be exported will be visible in the column ‘To export’. If data have previously been exported from the opened window, then the columns will be in the location they were placed in during the most recent export.

If a column whose title is displayed does not need to be exported, select this column and click on [<<]. The column will be placed in the ‘Available fields’ column. In this way you can exclude specific columns from being included in the final export.

If you now have to determine the order in which the columns are displayed after being exported, click on [All]. Al the columns will now be located in the column ‘Available fields’. Click on the column that, after being exported, must be displayed first and click on [>>]. After this, click on the column to be displayed second and again on [>>]. And then the third column, and so on.

Once all the columns that have to be exported have been placed in the column ‘To export’, click on [Next>]. If there are columns present in the opened window that should not be displayed as Available fields, but the data do have to be exported, do NOT choose ‘Directly in Excel’ but for ‘Save as file (other formats). After selecting the columns to be exported, click on [Next>].

In the next window you can specify if all the lines from the opened window have to be exported or only the selected lines. You can also specify here whether the titles of the columns have to be included.

Click on [Next>]. The previous window of the wizard will now appear. Click on [Finish] to export the data; Microsoft Excel will be opened automatically. The column width in Microsoft Excel will also be modified so that the data can fit in the columns. Depending on the amount of data that have to be exported, the export process may take several minutes. Do not interrupt the import process, as this will cause error messages.

Once all the data have been exported, the data can be processed and stored. By default, the file will be saved with a date as file name in the document map of the Windows user, in a submap ‘WinTree Export files’. For more information on processing data in Microsoft Excel, see the manual for this Windows application.

When the export process is completed, the wizard will be closed and you can continue to work in WinTree®.

ShowDirectly in Word

Data can be exported to Microsoft Word in the same way as exporting to Excel.

ShowSave as text

Even if you do not have Microsoft Excel or Microsoft Word available, you can still export data. The first option for this is to save the data as a TXT file. Open the wizard and, in the first window, select the option ‘Save as text ’. Click on [Next>]. In the next window that appears, the only option available is to click on [Finish]. This export option will store all export data to the text file. No option is available for choosing to make columns or rows.

Click on [Finish] and a pop-up window will appear in which you can specify the file name and the location to which the data can be exported. The file extension for this choice is always TXT. After the export process is completed, you can edit this file further.

ShowSave as file (other files)

The second option for saving the exported data is to ‘Save as file (other formats)’. After selecting this option, click on [Next>]. In the window that now appears, the only option available is to click on [Finish].

Click on [Finish] and a pop-up window will appear in which you can specify the file name and the location to which the data can be exported. It is also possible here to select the file type (extension) via a dropdown list. To do this, use the dropdown list ‘Save as’.

ATTENTION: Choose a file type that can be further edited in another Windows application.

The following buttons are available to do this:

Click on one of these buttons to export the data. The second window of the wizard will now appear, after which the wizard can be followed. See the description in the previous section.

ShowVia File --> Export

It is also possible to export data from an opened window File--> Export--> Export data. Choose the desired export method from the submenu. Clicking on the menu option will result in the second window of the wizard being opened. You can then continue following the instructions in the wizard. See the description in the previous section.
