Glossary Item Box

For nurseries but surely for traders, it is important to always know the amount of stock, how much is sold and how much is purchased. This information is available within WinTree in the 'Stock enquiry'-window. On various tab pages is per article clearly visible where, how many and sold to which customers or purchased at which suppliers.

 

It is also important that when booking sales orders to have this information directly available. Of course the 'Stock enquiry'-window can be opened but then there has to be searched for the article which are extra actions so taking more time. 

 

WinTree offers via the order entry-window the possibility to show the information from the 'Stock enquiry'-window directly in the active window when booking articles. Everything in one window, without having to spend extra time on searching the article. Next to this, the order entry window offers the possibility to easily add articles from the stock items to a sales order so entering can take place quicker and with less mistakes. 

 

The order entry-window can with the use of WinTree in a network per user be activated. Because of this, only the users that require extended information, get this on their screen, while the other users keep the 'regular' input window. 

 

With the use of WinTree Basic, the order entry-window can be used in the following windows:

 

Depending on the available modules, the order entry-window can be also be used at the following windows:

When in this manual there is talked about the use of the order entry-window in sales orders, then this description also applies to the other windows in WinTree, unless stated otherwise.

 

ShowSetting up the order entry-window

When the choice has been made to start working with the order entry-window, then first a general parameter needs to be activated to use the order entry-window per window. The parameter in question is parameter 265. TSD can assist in setting up this parameter.

After the parameter 265 has been provided with the correct value, there can be indicated if the order entry window has to be used when adding lines. Open the sales order window. Close the search window 'Customers' with [Cancel]. Right-click in the opened window in the empty, white list area. A menu will be opened, click in here on the option 'Properties'. In the opened window, the checkbox 'Use order entry window' on the tab page "-II". Close the properties window with [OK] and close the sales order window afterwards.

 

After this setting is made, when reopening the sales order window and add a line, the order entry window will be shown.

 

For every window where the order entry window needs to be used, the tick has to be placed in the properties window. Depending on the opened window, the checkbox will not always be on tab page "-II". Click on one of the other tabpages and the checkbox will be visible.

 

With the use of WinTree within a network-situations, every user needs to set up the setting themselves per window.

ShowLayout of the order entry-window

No matter in which window the order entry window is opened, the layout will always be similar. The only difference is the amount of available tab pages. The amount of tab pages is also dependent on the used module composition.

 


Except for the frame 'Tab pages' every frame of the order entry window has its own properties. These properties can be made by right-clicking in the frame where the properties need to be set. In the upcoming paragraphs is described which properties can be set per frame and the functions of the frame.

To set the properties of the order entry window, a random sales order needs to be opened. Click on [Add], in the bottom right corner of the window. The order entry window will be opened.
 

Frame 1: Search for Articles.

Right-click in frame 1 and select the option 'Properties'. A window is opened with 2 tab pages.

 


 

On tab page "I" the preference towards searching on plant names and plant sizes/qualities is set. By default, the search method is on match code and quality code.

For searching plant names the following options are available:

Matchcode Search on the matchcode of the plantnames.
Text-search botanical name

Here a part of the plant name can be entered. This can be part of the genus but also a part of the passport code or subcode. When searching there can also be made a combination. For this the space bar needs to be used. For example: type 'Acer' and all articles starting with 'Acer' are shown. Type 'acer camp' and all articles starting with 'acer' and further on 'camp' in the plant name are shown. By putting a space first in the input field and then text, there will be searched for plant names that contain the entered text without the plant name needing to start with the text.

Text-search native name

Same as for the texts-search botanical name but for the native name. Keep in mind that entering native names cannot be done with the basic module composition and that the default list of plant names is not provided with the native names.

VARB-matchcode

Eventhough this option is shown here, this only of use when also working with module 100, Use B.K.S.

S.A.N. The same as for the VARB-matchcode applies here.

 

For searching plant sizes/qualities the following options are available:

Quality code Search on the quality code of the plant size.
Search qualities description

With this there can searched on parts of the description of used quality values. This is done similar to the Text-search on botanical name. Please note, that for the use of this option there needs to be made use of qualities for composing plant sizes.

Quality items

With this the desired values can be selected per used quality group. Also here applies that qualities have to be used for composing plant sizes.

search size description

With this there can be searched on a part of plant size similar to the Textsearch on botanical name.

 

The choice that has been made, will be a preferred setting that will be shown by default when opening the order entry window. This preference can manually be changed in the order entry window. Permanently changing the preferences can be done via the properties window.

 


 

On tab page "II" the following properties can be set:

Clean-up search...

In case this option has been ticked then the moment [New] is clicked the matchcode and quality code are removed. If this option is not ticked the matchcode will remain.

Show free stock...

In case this option is ticked then in a separate column in frame 3 the free saleable stock will be shown.

Search settings; ... (part of) plant OR size

This option shows the selection the moment (a part of) the matchcode is entered and clicked <<Tab>>. If a part of the matchcode is entered and WinTree can not select the correct matchcode based on it, then a search window will be opened. In this window the desired matchcode needs to be selected.

Search settings; ... (part of) plant AND size information

If this option is selected then a selection is shown when in frame 3 both a matchcode as well as a quality code has been entered.

When order entry is activated; show 1st tab

With this option when opening the order entry window the first tab page will be opened (frame 2).

When order entry is activated; show 2nd tab

If this option is selected then when opening the order entry window the second tab page will be opened (frame 2). On this tab page more information about the line is shown.

When order entry is activated;

Start with...

By selecting this option, the first tab page is opened when opening the order entry window. After entering the price (after clicking on <<Tab>>) the second tab page will be opened.

 


Tab page "III" is only there if the WinTree module 61, Batch administration is activated.

On this tab page can be indicated if the stock items lines have to be shown (option 1) or every separate batch (option 2). In case choosing the first option then via the checbox 'Select article..' there can be indicated if the articles shown have to be selected if there is only 1 article with this plant name present in WinTree.

 

If the second option is chosen then in frame 3 at the bottom of the window an amount of checkboxes will appear in which per batch can be indicated if they have to be shown or not.

 

After all properties have been set, the window can be closed via [OK]. The set properties are now saved. To be able to use the properties, the order entry window has to be closed. Reopen the order entry window and there can be worked with the new properties.

 

Frame 2: Stock and price information

Right-click in frame 2 and select the option 'Properties'. A window is opened with 1 tab page.

 


On the tab page, 3 columns are shown. In the middle column 'Available' are all fields that can be selected. In this column are also fields that do not show information if for these fields not the required module composition is activated, for example Lowest purchasing price.

Click on a field in the middle column. With help of  or  the selected field can be placed in the left or right column. The maximum amount of fields in the left as well as the right column is 6. If a field is placed in the left column then with help of  the field can be put back in the middle column. This also applies to the right column but here  needs to be used to put it back in the middle.

 

The order of the fields to show can simply be determined by putting fields back in the middle column and then select the field that has to be shown first in the left column and place it in the left column. Then click on the second field and place it in the left column. Select this way a maximum 6 fields for the left column and then continue for the right column. The selected fields can also be shown in the stock enquiry window. In case making use of this possibility, it is recommended to place the most important fields on top. Because in the stock enquiry window the first 4 fields of both the left and right column are directly shown in the window. The other fields can also be seen but there has to be scrolled for this.

 

Frame 3: Stock items

Right-click in frame 3 and select the option 'Properties'. A window is opened with 2 tab pages.

 


On the tab page "General" there are 2 columns. In the column 'Available' are all fields that can be shown in frame 3. Also in here are fields that only show information if the correct module composition is activated, for example Lowest purchasing price. Click on the field to show and use the arrow button  to palce the field in the column 'Show'.

 

The order of fields to show is done similar to the order in frame 2.

 


On the tab page "Colours" the colours can be defined with which the various stock batches can be recognised. These colours are used for showing batches in the order entry window but also in the allocation window.

 

The colours can be set up per type of batch to the own preference. Click fro this in the type of batch in the window. A colourpallet will be opened similar to the colour pallet used in Microsoft Word or art programs. In the colour pallet every desired colour can be selected. In case the colours have been changed, it is also possible to set it back to the WinTree standard. Click for this on [Standard]. All changes to the colours are set back to the WinTree standard.

 

Close the window via [OK] to save the properties.

 

By default the free saleable stock is always shown with the basic sales price in frame 3.

 

At the bottom of frame 3, there are 2 checkboxes. The checkbox 'Stock available' manages that only the stock items lines with stock are shown. The checkbox 'Only show catalogue' is only of importance if working with module 100 Use B.K.S.

 

In case in the properties of frame 1 has been indicated that the individual batches have to be shown then at the bottom of the frame there will be an amount of checkboxes with an own colour. There is a checkbox for Stock, Stock items and Free. Depending on the module composition of WinTree there are more checkboxes. The checkbox 'Stock' only shows the stock batches, 'Free' shows the stock bathces with free saleable stock, while 'Stock items' shows all articles from the stock items.

 

Frame 4: Tab pages

Depending on the module composition of WinTree, an amount of tab pages are shown here. For the use of these tab pages nothing can be set.

ShowDaily use

After all desired properties are set, the order entry window can be used for entering data. The way of entereing is in principal similar for every window in which the order entry window can be used. Per window there are minor differences but they are obvious.

 

ShowAdding data

After clicking on [Add] to add data, the order entry window will be opened. the cursors flickers in the input field for the plant name. Depending on the property, the matchcode (or botanical name) will be entered here. If a part of the matchcode or botanical name is entered and WinTree cannot make the correct choice then automatically the search window for plant names will be opened. This window functions similar to the search window during the entering of data without the order entry window.

 

Click, after selecting the plant name, on <<Tab>>. In the frame 3 now all stock items lines or stock batches are shown. Click on the stock items line or batch of which the data has to be entered. WinTree now fills in the selected size. In the top right corner of frame 1, there are now 2 green squares, meaning that a fitting plant name - size combination has been selected. Next to this, at the bottom of the frame the buttons are activated. The cursor is now in the input field 'Amount'. Insert here the desired amounts and click on <<Tab>> again. After this the price can be entered.

 

Depending on the properties, the second tab page will be opened in frame 4 after having clicked on <<Tab>> again. On this tab page various data can still be entered.

 

After the plant name and plant size are entered, also the tab pages in frame 4 become active. By clicking on the headers of the tab pages, the content of the tab pages is shown. On the second tab page (depending on which window there is worked in) extra data can be entered, while the other tab pages shows information about the selected plant name - size combination. 

 

In frame 2 the data, if present, is shown after entering the plant name - plant size combination.

 

After all data has been entered then with the help of [New] the next plant name -plant size combination can be entered. Depending on the properties the plant name will disappear or remains. After this the desired plant name - plant size combination can be selected in frame 3.

If all data has been entered, click on [OK]. The order entry window will be closed.

ShowAltering data

After with help of the order entry window the data has been entered, it can be needed to alter the data. Select the line that has to be altered and click on [Modify]. The order entry window will be opened and the desired alterations can be made. Click on [OK] after the alteration are made.

ShowShow the entire stock items

It is also possible to show the entire stock items (all plant name - plant size combinations) in frame 3. This is only practical if the stock items is not too big. Until approximately 200 stock items lines this is doable.In case the stock items is bigger, TSD advises not to use this possibility.

 

The entire stock items will be shown if in the order entry window at the plant name the %-sign is entered. the search window 'Plant names' will then be closed with [Cancel]. In frame 3 the entire stock items will now be shown. Depending on the amount of stock items lines and the speed of the computer, this can take a while. Click on the stock items line that has to be used. After this enter the amount and the other data.

 

Click on [New[ after this has happened. After this the next stock items line in frame 3 can be clicked and provided with the desired amount. This way, data can quickly be entered.

ShowAllocate

In case the order entry window is used for entering sales order lines, can also be allocated from the order entry window. On the tab page "Order line" the button [Allocate] is available for this. Click in this button and the regular allocation window will be opened. In this window, the sales order line can be allocated as usual.

 

In the properties of the sales order window can be indicated if there has to be allocated automatically. In case in the properties of frame 1 is indicated that the separate batches have to be shown, then clicking on the batch in frame 3 results in this batch being directly allocated to the sales order line. This way there can be directly allocated to the correct stock batch.

ShowQuery's in 'Stock enquiry'- window

The data that is shown in the order entry window in frame 2, can also be shown in the stock enquiry window. For this first the properties of the stock enquiry window need to be changed.

 

Open the stock enquiry window and right-click in the list area. Place a tick in the checkbox 'Show sql-query fields from order entry'. Close the window via [OK]. Then close the stock enquiry window and reopen the window.

 

On the upper right of the tab pages, the data as shown as in the order entry window in frame 2 are displayed. To show this data in the stock enquiry window, it is not necessary to use the order entry window. For selecting the desired fields, the order entry window needs to be activated. If via the order entry window the desired fields are selected then the order entry window can be turned off while the fields are still shown in the stock enquiry window.
